Lifestyle Home is a fast-growing furniture manufacturer and one of the top five furniture companies in South Africa. The company specialises in designing and producing made-to-order furniture that involves multi-stage production workflows. Orders arrive from multiple sources, including WooCommerce and manual invoicing systems, and move through carpentry, upholstery, quality control, and dispatch stages before delivery.
As order volume grew, Lifestyle Home’s manual processes began to slow operations down. Reliance on spreadsheets, paper records, and manual coordination created delays, errors, and poor visibility across production stages.
The absence of a centralised system caused miscommunication, data inconsistencies, and difficulty tracking custom orders. This resulted in production bottlenecks, missed deadlines, and delayed customer updates.
To solve these challenges, Bit Code implemented a centralised automation solution using Zoho Creator, Zoho Analytics, Zoho Books, and WooCommerce integration. The goal was to digitise the complete order lifecycle, automate production workflows, and provide real-time operational visibility for management.
Today, Lifestyle Home manages its end-to-end order-to-delivery process through a custom-built Zoho Creator application, improving efficiency, reducing manual work, and enabling better collaboration across teams.

The implementation was completed in structured phases to ensure minimal disruption to operations.
The first phase involved building the Order Synchronisation Manager application in Zoho Creator. Three core forms were created:
● Orders
● Delivery
● Drivers
These forms were designed to capture all order details, production stages, and delivery information in one centralised system.
Workflow automation was implemented to move orders through predefined stages:

Each stage included status updates, task assignments, and validation rules. Teams only see their assigned tasks through role-based portal access, improving accountability.
Custom buttons were created to update order status, assign teams, and move records between stages. Automated workflows were configured to handle field visibility, notifications, and role assignments.
Dashboards were developed to provide operational visibility. Two main dashboards were created:
● Operational Dashboard for team tracking
● CEO Dashboard using Zoho Analytics
These dashboards display order progress, SLA performance, dispatch status, and production workload.
Separate portal access was configured for each team, including carpentry, upholstery, QC, and dispatch. Each portal user has different permissions based on their role.
